New Hire Welcome Box: What to Send and When

When a new hire welcome box should arrive, how to count back from the start date, what goes inside, and what it costs per hire. Ships in 1–2 business days.

Two hands lift the personalised lid off a welcome box on a desk, a printed wreath and the new hire's name on the lid, a mug and a notebook inside.
The first morning goes better when everything was ready days before it.

The short answer

A new hire welcome box does its job when it lands before the first day, not after it. Plan for arrival three to five business days ahead of the start date. Nikimoon orders ship within 1–2 business days and most arrive in 5 to 9, one order can go to a list of home addresses at flat $11.99 per destination, and bulk pricing starts at 5 boxes.

When the box should land

Aim for the box to arrive three to five business days before the start date. That is the preboarding window, between a signed offer and the first morning, and SHRM, BambooHR, Personio and Rippling all place a welcome kit there: a tool for that gap, not a reward after the fact.

Up to half of candidates who accept an offer go through second thoughts before they start, or keep an eye on a competing one. BambooHR found that 70% of new employees decide within the first month whether the job fits, roughly 44 days for the employer to make the case.

A late box is worse than no box. When Custom Ink asked new hires how welcomed they felt, about one in three of those who had a kit by day one said they belonged right away. Among those whose kit came late, it was closer to one in seven, below even the people who never received one, and the share who took a long time to feel part of the team roughly doubled.

Among companies with remote staff, about half get the box there by the first day, close to one in three deliver it late, some arrive scaled down, and a small share never arrive. The start date is known weeks ahead, and that date, not the contents, decides when the order goes in.

Working backward from the start date

Nikimoon orders ship within 1–2 business days of payment, and most orders arrive 5 to 9 business days after checkout. Boxes are curated from pieces we already hold, not produced to order.

What actually moves the date sits on your side: a confirmed address, the name for the lid, and the card text. Confirm the address and any preferences with the employee at least 10 days before they start, never from the résumé or an older HR export: people move house at exactly the moment they change jobs.

Step When, counted from the first day Who does it
Confirm address and preferences with the employee About three weeks before, never later than 10 days You, via a private form
Approve the lid design and the card text Same week, before the order is placed You and your Nikimoon contact
Place the order 12 to 14 business days before You
Shipment leaves Within 1–2 business days of payment Nikimoon
Box arrives Most orders 5 to 9 business days after checkout, at least 3 business days before day one Carrier; Nikimoon confirms delivery

If the offer was signed less than two weeks out, the window is tight but not closed: with a confirmed address and card text in hand, an order placed today ships within 1–2 business days, and most orders arrive 5 to 9 business days after checkout. Without the address, plan for the first week rather than ship on a guess.

A separate risk is the split delivery: IT ships the laptop through its device partner, HR ships the box through another vendor, and the new hire signs for two parcels on two different days. Line both up to one arrival date the week the offer is signed.

What goes in the box

Sort the contents by purpose. Some of it helps the person find their footing: a note from their manager, a printed schedule for the first week, the contacts they will actually need. Some of it earns a place on the desk: a notebook, a pen that writes well, an insulated tumbler. Some of it simply makes the day warm: good coffee or tea, something sweet, a throw.

The note is the piece the kit cannot work without; onboarding research files it as an absolute must-have, ahead of anything with a logo on it. A printed itinerary and a short list of who to call do more for first-day nerves than merchandise.

Sapling puts the average number of onboarding tasks assigned to a new hire at 54, and stacking the whole compliance packet into the same box turns a welcome into homework. First-week documents belong in it. The HR archive does not.

What Nikimoon does: we curate the box from pieces we already stock, print the recipient's name on a custom magnetic lid, and pair it with a card chosen for the occasion. Design is done in-house, led by Artem, a designer for more than twenty years. We do not print or embroider apparel, and we do not manufacture custom merchandise. A hoodie with your logo is another vendor's job; a box with a branded card and a named lid is ours.

A signing bonus or a gift card dissolves into everyday spending; a tumbler used every morning stays on the desk.

Remote, hybrid, and in-office: where the box goes

Home before the start date, or on the desk on the first morning, is a logistics decision. Shipping to the home during preboarding builds more anticipation and lets the family share the unboxing. A desk delivery works only when the workstation will be ready.

Remote and hybrid hires keep the same target: arrival three to five business days before the first day. For in-office hires, first-morning placement is fine as long as a named teammate sets it down.

A Nikimoon order ships either to one address or to a list of recipient addresses, and each box leaves from the closer of our two fulfillment centers, in Miami, Florida and in Pennsylvania. Shipping is flat $11.99 per destination, within the United States only, all 50 states.

Home addresses are personal data. Passing a spreadsheet of them between HR, hiring managers and vendors creates exposure under GDPR and CCPA and multiplies delivery errors. The working practice is a private form where the employee enters their own address and preferences, and the list reaches the vendor as one file.

For hires outside the United States, a box shipped across a border runs into customs holds and unpredictable duties; a local arrangement in their country is the honest option.

What it costs per hire

Industry benchmarks, not Nikimoon prices: an essential kit runs $35–$65 per hire. The mid-range that covers most corporate onboarding sits at roughly $50–$120. For executive or hard-to-fill roles, plan on starting around $120 per hire and climbing from there.

The line most plans miss is distance. One financial audit priced a kit with $75 of contents at about $78 per hire when handed out centrally in an office. Shipped to a remote employee's home, the same kit came to $105–$130 once packaging, residential courier fees, pick-and-pack and platform charges were added.

What a company spends per hire also shows up in the calendar. Companies putting $100 or more into each box got it home before the start date about half again as often as those holding under $50.

There is no minimum order at Nikimoon. Bulk pricing starts at 5 boxes: 5–19 save 5%, 20–49 save 10%, and 50+ moves to custom pricing. A single order can run up to 2,000 boxes; larger volumes ship on individually agreed timelines. The corporate collection is the shelf built for these orders.

The line that holds up in front of a finance director is retention: SHRM found that employees who go through structured onboarding are 69% more likely to stay at least three years.

What companies actually write on the card

Across the corporate orders Nikimoon has packed, roughly seven in ten cards say thank you or congratulations; holiday greetings are a distinctly smaller share. The same orders come in all year, and the spring wave of recognition is comparable to the winter one. Onboarding does not wait for December.

Quoted as written, names removed:

Welcome to the team! We are thrilled that you've joined us and look forward to working together!

Welcome to the team! I am so excited to have you aboard and can't wait to continue growing and learning together!

We truly appreciate everything you do!

What separates a card that works from a formula is specificity: it names the role, the team, and what the person is being counted on for, and it is signed by people rather than a department.

The card text takes longer to gather than anyone expects, and left to the last day it is what holds an order back. Ask for it at the same time as the address.

How an onboarding order runs at Nikimoon

The first email gets a useful answer when it carries the quantity, the start dates, the amount per box, whether you want a branded card, and whether the boxes go to one address or a list. You get back a quote, the designs available, and a delivery date we confirm before you place the order, not after.

From there: you approve the lid design and the card text, you send the recipient list, the order ships within 1–2 business days, most boxes arrive 5 to 9 business days after checkout, and you receive delivery confirmation. Paperwork: a W-9 on request, purchase orders, invoice payment, and net-30 terms for approved corporate accounts. The guide to corporate gift boxes for employees covers the documents and the tax side, and the corporate gifting page keeps the terms in one place.

One dedicated contact runs the order from the first email to the last delivery confirmation. If an address changes, a headcount moves, or a start date slips, you write to the same person, not to a ticket queue.

Companies that hire every month fix the set once; after that, each new start date is an email with a name and an address.

Questions people ask

When should a new hire welcome box arrive?

Three to five business days before the first day, inside the preboarding window. Nikimoon orders ship within 1–2 business days, and most arrive 5 to 9 business days after checkout; confirm the address with the employee at least 10 days before they start. A box that lands late works worse than none.

What should you put in a new hire welcome box?

A note from the manager and a printed first-week schedule; something practical for the desk (a notebook, a good pen, an insulated tumbler); something warm for the day (coffee or tea, a sweet, a throw). Nikimoon prints the recipient's name on a custom magnetic lid and adds a card chosen for the occasion. Leave the HR compliance packet out.

Can you ship welcome boxes to employees' home addresses?

Yes. One order ships to a list of recipient addresses, each box from the closer of our two fulfillment centers, in Miami, Florida and in Pennsylvania. Shipping is flat $11.99 per destination, within the United States only, all 50 states. Orders ship within 1–2 business days, and most arrive 5 to 9 business days after checkout. Have each employee confirm their own address.

Do you offer bulk pricing and invoicing for onboarding boxes?

Yes. There is no minimum order; bulk pricing starts at 5 boxes: 5–19 save 5%, 20–49 save 10%, and 50+ moves to custom pricing. A single order can run up to 2,000 boxes; larger volumes ship on individually agreed timelines. W-9 on request, purchase orders and invoice payments accepted, and net-30 terms for approved corporate accounts.
